Tendrix is a business application that helps organizations analyse RFP/tender documents, manage a reusable knowledge base of past proposal content, and draft and export proposal documents. This policy explains what data we collect, why, how long we keep it, and the choices you have.
1. Who we are and who our users are
Tendrix is sold to organizations (our "Customers"). If you use Tendrix through your employer, your employer is the controller of the content you put into the service and we act as its processor. For account and billing data we are the controller.

We do not ask for, and you should not upload, special-category personal data (health, biometric, political, religious or similar) or payment-card numbers.
3. How we use data
- To provide the features you invoke: document text extraction, requirement analysis, semantic search, deduplication, proposal drafting and export (DOCX, PPTX, PDF, Google Docs).
- To generate embeddings and AI-assisted drafts using third-party model providers (see section 6).
- To authenticate users, enforce role-based permissions and prevent abuse.
- To monitor reliability and performance, and to fix faults.
- To bill Customers and communicate service notices.
We do not sell personal data, and we do not use it for advertising or behavioural profiling.
4. Google Docs and Google Drive
Connecting a Google account is optional. Its only purpose is to let Tendrix put a proposal you have written into a Google Doc, so you can keep editing and sharing it in Google. If you never connect Google, none of this section applies to you.
What Tendrix can do once you connect Google
- Create a new Google Doc in your Drive containing the proposal you exported.
- Write that proposal's headings, text, tables and images into the document it just created.
- Update that same document later, if you export the proposal again.
- Open a document you have specifically chosen and handed to Tendrix yourself.
What Tendrix cannot do
- It cannot browse your Drive. Tendrix has no ability to list, search or see what files you have.
- It cannot open your other files. Not your existing documents, spreadsheets, folders or anything shared with you. Access is limited to the documents Tendrix itself created, plus any file you deliberately pick.
- It cannot delete or move anything in your Drive.
- It cannot read your Gmail, Calendar, Contacts or photos. Tendrix never asks for access to them.
This is enforced by Google, not just promised by us: the permission Tendrix asks for is the narrowest one Google offers for this purpose, and Google's own systems block anything beyond it.
What we store
When you connect Google, we save a secure key that lets Tendrix create and update documents for you without asking you to sign in every time. We keep that key encrypted, and we keep a note of which documents Tendrix made for you. We do not copy anything from your Drive into Tendrix, and we do not look at documents Tendrix did not create.
Limited Use disclosure
Tendrix's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, Google user data obtained through these scopes is used only to provide or improve the export feature that is visible to you; it is never sold, never used for advertising, never transferred to third parties except as needed to provide the feature, to comply with law, or in a merger with notice; and is never used to train generalised AI or machine-learning models. Human access to Google user data is prohibited except with your explicit consent, for security or abuse investigation, to comply with law, or on aggregated and anonymised data for internal operations.
Revoking access
You can disconnect Google from your settings in Tendrix at any time, or remove our access from your Google account at myaccount.google.com/permissions. Either way, Tendrix immediately loses all access and we delete the key we saved. Documents already created stay in your Drive and belong to you.
5. How long we keep your data
We keep your information for as long as your account is open, so your work is there when you come back.
- Your account details and your work. The documents you upload, the proposals you write and your saved content stay with your account while it is open. When you remove something in Tendrix, it stops appearing in your workspace.
- Your Google connection. Kept only until you disconnect it. The moment you disconnect in Tendrix, or remove our access from your Google account, we erase the key we saved and Tendrix can no longer reach your Drive. Documents already created stay in your Google Drive and remain yours.
- Records of activity, such as sign-ins and error reports. Kept so we can keep the service secure and working properly.
- Billing records. Kept for as long as tax and accounting rules require us to.
For a short while after anything is removed, copies can remain in our backups before those are overwritten in the normal course of things.
Asking us to delete your data
You can ask us to erase your information at any time by emailing support@tendrix.com, and we will confirm once it is done. We may need to keep a small amount, such as billing records, where the law requires it. If you use Tendrix through your employer, the content you put in belongs to them, so we will pass your request to them.
6. Changes
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on our website.
